Job Summary

The Access Assistant plays a critical role in the Exeter Programs intake function, ensuring a seamless and professional process of screening and placing client referrals with a focus on the Exeter Programs. This position is responsible for overseeing the screening, assessment, and referral of potential admissions to an appropriate level of care.

Key Responsibilities

  • Facilitate the referral/intake process and maintain accurate admission data
  • Assist with daily census and population data, schedule admissions, and other admissions reports as needed
  • Conduct reminder calls prior to admissions and maintain communication with referral sources
  • Maintain admissions checklist and documentation to ensure adequate records
  • Document demographic information of clients in Welligent, including drug history and demographic data
  • Demonstrate empathy, compassion, and respect for clients in all interactions
  • Maintain objectivity towards all clients and make decisions based on accurate information
  • Answer phones and transfer calls to appropriate treatment providers as needed
  • Maintain documentation related to MAP and/or Access Team tools, including communication logs and call tracking
  • Demonstrate appropriate boundaries between self and clients
  • Serve as a role model through positive, professional conduct and participation in special agency events
  • Consult with Program Clinical Team and/or Nursing to review potential referrals as needed
  • Project a good image to the public and complete E-learning requirements in a timely manner
  • Dress in a professional manner and work cooperatively with others and supervisors
  • Demonstrate patience and consideration in dealing with others and make thoughtful decisions
  • Ensure client confidentiality in accordance with all federal, state, and local laws and regulations
  • Perform other duties as assigned

Knowledge and Skills

  • Knowledge of the philosophy, programming, and administration of a Phoenix Houses of New England program
  • Knowledge obtained through attainment of certification as required by funding/licensing sources
  • Knowledge of state and federal regulations on confidentiality, contract management, and program administration
  • Knowledge of substance abuse treatment modalities as program dictates
  • Ability to work and communicate with other team members
  • Demonstrates effective and professional communication between referral sources, networks, and agencies
  • Proficiency in Welligent and Microsoft Office use
  • Skill in performing and/or managing tasks and/or people to ensure program and policy administration
  • Skill in representing the organization internally and externally
  • Ability to maintain appropriate boundaries with clients

Education/Experience

Bachelor's or Associate's Degree in a related field from an accredited institution or equivalent combination of education and experience

Licenses/Certifications

Certification/licensure as required by funding/regulatory sources

The work environment is that of a substance abuse treatment milieu which may include exposure to clients infected with Hepatitis B, HIV, TB, or other infectious diseases. Business-related travel may be required.

Scheduling Needs

Evening, weekend, and/or holiday shifts may be required.
