JOB TITLE: Human Resources Coordinator

STATUS: Non-exempt

PRIMARY PURPOSE: The Human Resources Coordinator is responsible for executing administrative tasks and services that enhance the effective and efficient functioning of the Human Resources department.

Reports To: Director of Human Resources

Supervises: Volunteers as necessary

ESSENTIAL DUTIES/FUNCTIONS:

  • People Care: This role involves leading by example, demonstrating enthusiasm and commitment to the mission of Hawaiian Humane. A strong focus on supporting team members, candidates, volunteers, and community members is crucial. Exceptional follow-up and time management skills are necessary to maintain outstanding people care values.
  • Administration: Provides comprehensive support for all human resources functions, including coordinating meetings, preparing recap reports, note-taking, and managing administrative reports and errands.
  • Communication: Assists the Director in addressing employee inquiries, researching and responding to questions related to benefits enrollment, company policies, and other HR programs. Ensures timely management of inquiries through various communication channels, preparing necessary documentation for HR actions.
  • Data Management: Responsible for the timely creation of new hire records and the appropriate use of workflows within the HRIS system. Maintains accurate human resource files and documentation, ensuring confidentiality and integrity. Conducts periodic audits of HR files to ensure compliance.
  • Recruitment & Onboarding: Manages the creation of online job postings, candidate screening, interview scheduling, and the preparation of offer letters. Coordinates new hire orientation and collaborates with department leaders to identify required skills for open positions.
  • Benefits Administration: Facilitates communication between Hawaiian Humane and external benefits providers, ensuring accurate employee enrollments and deductions.
  • Employee Training, Engagement & Retention: Assists in organizing special events such as benefits enrollment, employee recognition events, and other activities to foster a positive company culture.
OTHER DUTIES/FUNCTIONS:
  • Participates in meetings with the Director and other team members, contributing ideas to enhance HR programs.
  • Performs additional duties as assigned to promote a positive public image and improve organizational operations.
JOB CONDITIONS:
  • Work Environment: Primarily indoors in a climate-controlled office with occasional outdoor work.
  • Equipment Use: Proficient use of PC (Word, Excel, Adobe, HRIS system), copy machine, scanner, fax machine, and telephone.
  • Hours: Flexible on-site work schedule.
MENTAL, PHYSICAL AND COMMUNICATION DEMANDS:
  • Strong organizational, writing, and verbal communication skills are essential.
  • Understanding of HR programs, services, and policies is required.
  • Excellent data entry and auditing capabilities.
  • Ability to handle sensitive situations with professionalism and compassion.
  • Proficiency in Microsoft Office Suite and the ability to learn HRIS systems quickly.
  • Collaborative mindset to support staff and volunteer needs.
  • Clear communication skills across all organizational levels.
  • Professional appearance and conduct are expected.
  • Ability to work independently and manage prolonged periods of desk work.
QUALIFICATION REQUIREMENTS:
  • Skills/Knowledge: Strong presentation, planning, organizational, and communication skills are required. Commitment to Hawaiian Humane's goals and programs is essential.
  • Education/Training: HR certification (PHR, SPHR, SHRM-CP, SHRM-SCP) is a plus.
  • Experience: A minimum of 1 year of office administrative experience or equivalent education is required.
