Program Coordinator

The Program Coordinator plays a pivotal role in guiding and assisting teams to successfully execute projects that span multiple departments. This position is tasked with the organization of project resources, defining scope, establishing timelines, and managing financial aspects while ensuring adherence to quality standards and control measures throughout the entire systems development life cycle.

Key Responsibilities:
  • Oversee all facets of strategic initiatives, continuous enhancement, and business and IT transformation projects to guarantee timely and effective execution utilizing various development methodologies such as waterfall, iterative, and agile (scrum, kanban) to support project teams.
  • Develop, maintain, and manage project documentation including project charters, change requests, schedules, budgets, risk assessments, status reports, and variance analyses.
  • Act as a business partner with strong analytical skills to devise practical solutions that align with strategic goals. Grasp the business requirements of the project and its interplay with other initiatives to make informed decisions that benefit the organization.
  • Establish and nurture robust working relationships with executive sponsors, business leaders, and stakeholders across the organization to manage expectations and ensure successful project delivery.
  • Monitor project performance and recommend adjustments to schedules, costs, or resources as necessary. Provide timely updates to management regarding project status, escalating issues, and managing risks.
  • Lead project planning efforts, including resource allocation, staffing, supply chain management, progress reporting, troubleshooting, and team oversight. Ensure compliance with established processes and contribute to the enhancement of internal tools and governance frameworks.
  • Utilize various development methodologies such as waterfall, iterative, and agile (scrum, kanban) to support project teams effectively.
  • Foster strong relationships with executive sponsors, business leaders, and stakeholders to manage expectations and facilitate project delivery.
  • Demonstrate the capability to turn around small to medium-sized projects that may be facing challenges.
  • Contribute to the ongoing improvement of project management practices, enhancing internal tools and governance aspects to optimize project outcomes.
  • Support and guide teams in embracing a culture of continuous learning, evolving them into highly productive, self-sufficient project teams capable of delivering work across various systems and business processes.
  • Mentor team members and colleagues in essential skills such as leadership, methodologies, tools, and effective communication. Provide training in both hard and soft project management skills necessary for successful project planning, execution, delivery, and support.
  • Exhibit the ability to revitalize small to medium-sized projects that are encountering difficulties.
Qualifications:
  • 5+ years of experience in the financial services sector, preferably in life insurance and annuities.
  • 5+ years of experience managing cross-functional projects in a matrixed environment.
  • Bachelor's degree is required.
  • Project Management Professional (PMP) Certification, Certified Scrum Master, or similar certifications are preferred.
  • LOMA ALMI certification is expected; FLMI is a plus.
  • Proficient in various project management methodologies (e.g., agile/scrum, waterfall).
  • Self-motivated with the ability to work independently and collaboratively as part of a team.
  • Capable of understanding, interpreting, and communicating complex topics effectively.
  • Able to thrive in a fast-paced environment; strong organizational skills are essential.
  • Results-oriented with excellent verbal and written communication skills.
  • Ability to engage and communicate with C-Level executives and senior leadership.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Project, SharePoint) and tools like Jira/Confluence.
  • Must be able to pass a background check.
