Receptionist Job Summary

We are seeking a highly organized and detail-oriented Receptionist to join our team at Covenant Living Communities. As a Receptionist, you will be the first point of contact for residents, staff, and visitors, providing a warm and welcoming experience.

Key Responsibilities:
  • Answer all telephone calls in a polite and friendly manner, transferring calls as needed and taking messages when individuals are unavailable.
  • Monitor the emergency system, direct staff to emergent situations, and call emergency personnel as necessary.
  • Provide information to visitors, ensuring they are directed to the appropriate individual who can assist them, and sign in and wear badges according to policy and procedure.
  • Keep the reception desk and lobby clean and organized after each shift.
  • Facilitate transportation requests, coordinate and communicate timing to residents and staff, and place courtesy calls to remind residents of transportation trips.
  • Assist residents in signing up for programs and activities, collect payment, and be knowledgeable about office equipment to demonstrate its use to other staff.
  • Sell postage stamps to residents and staff, receive packages and mail, sort mail, and log in packages, informing residents and staff of packages to pick up.
  • Facilitate maintenance requests, input requests into the system, and communicate urgent or emergent situations to appropriate staff.
  • Complete monthly charge sheets according to procedure and support other departments in clerical duties as assigned by the Administrative Services Coordinator.
Requirements:
  • High school education or equivalent.
  • One year of secretarial training or clerical experience.
  • Highly organized, detail-oriented, with excellent interpersonal and communication skills in English.
  • Pleasant personality and telephone voice.
  • Ability to remain calm in an emergency situation.
  • Complete confidentiality when circulating general information.
  • Knowledge of computers, including Microsoft Office Suite.
  • Interest in and desire to work with older adults.
