Client Operations Specialist

Location: Chicago, IL (Hybrid)

Our client is a distinguished independent investment advisory firm located in downtown Chicago, managing over $15 billion in assets for around 90 esteemed clients. They focus on investment reporting, management, and advisory services tailored to a diverse clientele, including foundations, endowments, pensions, family offices, and financial intermediaries.

Role Overview:

As a Client Operations Specialist, you will be integral in ensuring that clients receive unparalleled service. This hybrid role requires you to work closely with the investment and technology teams to manage and oversee each client's personalized investment strategy. Your main duties will encompass meeting preparation, documentation facilitation, and coordination with various stakeholders, including clients, banks, custodians, and asset management firms. Additionally, you will collaborate with tax, legal, and internal technology professionals to support clients effectively.

Primary Responsibilities:

  • Manage client service functions, including cash raises, transfers, bill payments, custodian notifications, capital calls/RMDs, account openings/closings, and manager transitions.
  • Assist in organizing client meeting logistics, such as scheduling, report delivery protocols, and coordinating project timelines.
  • Serve as the main point of contact for daily client interactions, ensuring timely responses to service requests.
  • Support the coordination, delivery, and oversight of portal materials to meet client expectations and compliance requirements.

Qualifications:

  • At least 3 years of experience in a client service role.
  • A minimum of 2 years working with a brokerage custodian platform, such as Schwab or Fidelity.
  • Familiarity with portfolio accounting systems, such as Orion or similar, is advantageous.
  • Exceptional attention to detail is essential.
  • Ability to manage multiple tasks efficiently.
  • Experience in the Wealth Management sector is preferred.

Compensation: $80,000-$90,000 + bonus
