Role Summary: As a Client Services Coordinator at Eximius Associates, you will serve as the initial point of interaction for our clients and guests. The ideal candidate will possess a friendly demeanor, strong organizational skills, and the ability to handle a variety of administrative responsibilities with ease. Your duties will include welcoming visitors, managing communications, and fostering a positive and professional environment at the reception area.

Key Responsibilities:

  • Welcome and greet guests with a courteous and professional attitude.
  • Manage incoming calls and communications, including call transfers and message taking.
  • Facilitate guest check-ins and check-outs with accuracy and efficiency.
  • Provide detailed information regarding our services, events, and facilities to clients and visitors.
  • Coordinate appointments, reservations, and meeting room schedules.
  • Maintain an orderly and tidy reception area, including the management of office supplies.
  • Assist with various administrative tasks such as filing, data entry, and document preparation.
  • Address guest inquiries and concerns promptly and professionally, seeking solutions as necessary.
  • Collaborate with other departments to ensure seamless operations and client satisfaction.
  • Adhere to company policies and health and safety standards.
  • Perform additional duties as required to support the team and overall operations.

Qualifications:

  • Prior experience in a receptionist, administrative assistant, or similar capacity is preferred.
  • Exceptional communication and interpersonal abilities.
  • Strong organizational skills with a keen attention to detail.
  • Capability to manage multiple tasks concurrently and work effectively under pressure.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment.
  • Positive outlook with a dedication to delivering outstanding service.
  • High school diploma or equivalent; additional qualifications in office administration or related fields are advantageous.
