Key Responsibilities:

Membership Management

  • Facilitate the processes of member registration and renewals as instructed by the Membership Director, collaborating with the Executive and Development Assistant. Ensure that all member information is accurately recorded in the membership database and that physical materials are securely stored.
  • Alert the Membership Director regarding impending membership expirations and conduct outreach to encourage renewals.
  • Ensure that all members signing in upon entering the facility are properly documented, with attendance data accurately recorded in the membership database.
  • Provide precise and current information about programs, activities, and events to all inquiries at the membership desk, on the Parent Bulletin Board, and via telephone.
  • Assist the Director in conducting orientation sessions for new members and parents, ensuring they receive the organization's Parent Handbook/Guidelines.
  • Monitor the lobby area to manage traffic and prevent loitering, while also supervising and maintaining discipline among members in the lobby and throughout the facility as necessary.
  • Handle incoming telephone calls to the organization, transferring calls as needed and taking accurate messages when required.
  • Secure and maintain materials, equipment, and resources related to the program areas, ensuring a safe and clean environment.
  • Engage in individual and group supervision sessions and participate in professional development opportunities as appropriate.
  • Contribute to the assessment of organizational impact by participating in various evaluation efforts throughout the program year, including member surveys.
  • Travel between various sites and activities as required.
  • Perform other related tasks as assigned by the Executive Director in collaboration with the Membership Director and the Executive and Development Assistant.

Operations Coordination

  • Act as the logistics liaison and coordinator for community space rentals and special events.
  • Oversee the logistics for club programming, special events, and space rentals, including:
    • Processing all space rental requests.
    • Ensuring all necessary paperwork is completed and submitted to the Executive Director for approval and scheduling.
    • Documenting and staffing all rentals adequately.
    • Tracking and processing space rental fees.
    • Maintaining a calendar for club programming, special events, and space rentals.
    • Collaborating closely with renters to address ancillary needs.
    • Managing the inventory of special events supplies.
    • Maintaining a contact list for special events vendors, contractors, and suppliers.
    • Collecting data on building usage.
  • Collaborate with the Executive and Development Assistant to coordinate admissions and transportation for field trips.
  • Support alumni relations initiatives by maintaining an alumni database.
  • Attend meetings and events as required by the Executive Director.

Position Requirements:

  • High school diploma or GED is required; a Bachelor's degree is preferred.
  • Experience in customer service and/or reception, along with proficiency in data management, is essential.
  • Strong interpersonal and communication skills are necessary.
  • Proficiency in MS Office and web applications is preferred.
  • Must be or become CPR/First Aid certified.
  • Ability to work effectively with youth and families from diverse backgrounds.
  • Capability to work independently as well as collaboratively within a team.
  • Flexibility to accommodate clubhouse hours, particularly as service needs evolve.
