JOB DESCRIPTION:

The School Administrative Assistant plays a crucial role in facilitating the smooth operation of the office. This position supports the principal and staff through a variety of organizational and communicative tasks. The responsibilities of the School Administrative Assistant ensure that all clerical functions are performed accurately and delivered with high quality in a timely manner.

DUTIES AND RESPONSIBILITIES:
  • Establish and uphold all office and school recordkeeping systems.
  • Maintain a comprehensive student database by developing and tracking records and reports related to incidents, accidents, average daily attendance, and test scores.
  • Utilize both digital and manual filing systems to enable efficient collection, retention, and retrieval of information; complete forms including purchase orders, online supply orders, conference/travel claims, mileage claims, timesheets, evaluation forms, enrollment cards, rosters, and other related documents.
  • Create and manage student files; maintain records for teacher and school budgets, student body funds, attendance, and other pertinent records as necessary.
  • Act as a liaison between the school and the public by conveying information regarding rules, regulations, policies, and laws; greet and direct visitors.
  • Address standard inquiries via letter, phone, e-mail, fax, or personal contact; maintain an internal communication system ensuring instructional and support personnel are kept informed of necessary information.
  • Perform additional duties as assigned.
QUALIFICATIONS:
  • Associates degree preferred or three (3) years of experience in general administrative and clerical work.
  • Prior experience in procurement preferred.
