JOB DESCRIPTION:

The School Administrative Assistant plays a crucial role in ensuring the smooth functioning of the office environment. This position supports the principal and staff through a variety of organizational and communicative tasks. The scope of the role guarantees that all clerical responsibilities are executed with precision and delivered promptly.

DUTIES AND RESPONSIBILITIES:
  • Establish and uphold comprehensive office and school recordkeeping systems.
  • Maintain an extensive student database by developing and monitoring records and reports related to incidents, accidents, daily attendance, and assessment scores.
  • Utilize both digital and manual filing systems to facilitate efficient collection, retention, and retrieval of information; complete various forms including purchase orders, online supply orders, travel claims, mileage claims, timesheets, evaluation forms, enrollment cards, rosters, and other pertinent documents.
  • Create and manage student files; oversee records for teacher and school budgets, student body funds, attendance, and other necessary documentation.
  • Act as a liaison between the school and the public by communicating information regarding rules, regulations, policies, and laws; welcome and direct visitors.
  • Address standard inquiries through written correspondence, phone, email, fax, or in-person contact; maintain an internal communication system to ensure instructional and support personnel are informed of essential information.
  • Perform additional duties as assigned.
QUALIFICATIONS:
  • Associates degree preferred or three (3) years of experience in general administrative and clerical work.
  • Prior experience in procurement preferred.
