Overview

Position Summary

Welcomes all incoming patients and their families while performing essential administrative tasks. Responsible for scheduling appointments, executing patient registration duties, handling cashier-related responsibilities, and conducting various data entry and clerical functions.

Key Responsibilities

  • Manages multi-line phone systems, providing essential information to callers and patients, taking messages, and facilitating pages.
  • Contacts patients via phone to verify scheduling details and communicates any changes to the relevant staff members.
  • Conducts patient check-in processes and initial registration tasks, ensuring all forms are accurately completed.
  • Collects patient payments and post charges, ensuring timely completion of receipts.
  • Orders, monitors, and maintains all necessary paper supplies, including retail items.
  • Handles incoming and outgoing mail as well as supply deliveries.
  • Organizes and maintains a systematic medical records filing system.
Physical Demands
This role requires reaching forward to operate various office equipment such as telephones, computers, copiers, and fax machines. It involves prolonged periods of sitting, frequent bending, and occasional overhead reaching. The ability to lift documents or supplies weighing between 1-10 pounds frequently, 11-20 pounds occasionally, and 21-50 pounds rarely is necessary. Frequent use of fingers and both hands is required, along with clear verbal communication and close-range hearing and vision. The position is situated in a dynamic office environment, and the employee is expected to adhere to safety protocols.

Qualifications

A High School Diploma or GED is preferred. A minimum of one year of experience as a medical receptionist is advantageous. Familiarity with medical terminology, data entry, and computer skills is essential. Proficient typing and accurate spelling are required. Experience or knowledge of complementary and alternative medicine therapies is a plus. Strong oral and written communication skills, along with organizational, time management, professionalism, group facilitation, and customer service skills, are crucial for success in this role.
