Billing and Customer Service Coordinator

Job Summary:We are seeking a versatile and detail-oriented Billing and Customer Service Specialist to support our various business operations. The ideal candidate will manage billing and accounts receivable (AR), enter checks into QuickBooks, assist with general QuickBooks accounting tasks, update and add products to our e-commerce site, handle customer phone calls, provide outstanding customer service, process employee timecards, enter payroll information into QuickBooks, and coordinate with our warehouse to prepare orders for sculpting and other stones, along with associated supplies.
Key Responsibilities:- Manage billing and AR processes across multiple business units, ensuring timely and accurate invoicing.
- Enter checks and other financial data into QuickBooks.
- Perform general accounting tasks within QuickBooks, including journal entries and account reconciliations.
- Update and add products to our e-commerce platform, ensuring accurate descriptions, pricing, and inventory levels.
- Handle customer phone calls, addressing inquiries and resolving issues promptly and professionally.
- Provide exceptional customer service, maintaining a positive and helpful attitude.
- Process employee timecards and enter payroll information into QuickBooks.
- Coordinate with the warehouse to prepare orders for shipment, coordinate with customers on shipping rates.
- Collaborate with different departments across our various businesses to ensure seamless operations and customer satisfaction.
- Proven experience in billing, AR, payroll processing, and general accounting tasks, preferably using QuickBooks.
- Familiarity with e-commerce platforms and product management.
- Excellent attention to detail and accuracy in data entry and financial transactions.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Customer service experience, with a commitment to providing top-notch service.
- Ability to coordinate effectively with warehouse staff and other departments.
- Proficiency in MS Office (Word, Excel).
- High school diploma or equivalent; associate degree in accounting, finance, or a related field preferred.
