Contact Government Services LLC is on the lookout for a Billing Operations Manager to enhance our team dedicated to our mission. This role encompasses a diverse array of responsibilities, including the effective hands-on coordination and oversight of the electronic billing and payment cycle workflow, which involves payment posting, charge adjustments, and monthly reconciliation of payments to bank deposits for the firm's offices, along with other assigned tasks.

Key Responsibilities:

  • Ensure precise adherence to electronic billing requirements and processes.
  • Prepare monthly, semi-monthly, and ad-hoc billing reports for both internal and external stakeholders.
  • Guarantee timely submission of invoices to clients, adhering to established timelines.
  • Create and distribute operational and billing reports to management as requested.
  • Collaborate with the Controller and Accounting Department to identify, review, and recommend enhancements to automate or improve the timeliness, accuracy, and efficiency of billing processes.
  • Assist internal and external auditors as needed.
  • Supervise electronic billing and receivables staff.
  • Assess the skill levels of e-billing and receivables staff, recommending necessary training or changes.
  • Provide feedback for staff performance evaluations, develop performance management objectives to address concerns, drive engagement and retention, and participate in team hiring and separation decisions.
  • Delegate assignments and projects to staff as appropriate.

Qualifications:

  • Proven ability to work effectively, influence, and communicate initiatives, projects, results, and analyses to senior leadership and staff, including presenting ideas clearly and succinctly.
  • High attention to detail, exceptional organizational skills, and the ability to manage time efficiently.
  • Excellent interpersonal and communication skills (both oral and written), with a professional demeanor and presentation.
  • Analytical mindset with strong problem-solving abilities, demonstrating initiative and sound judgment, along with excellent follow-up skills.
  • Ability to work efficiently while managing multiple tasks and setting priorities, all while delivering high-quality work accurately.
  • Capability to work under pressure to meet strict deadlines and adapt to a fast-paced, high-pressure environment to achieve business objectives.
  • Ability to work independently and as part of a collaborative, cross-functional team.
  • Bachelor's Degree or equivalent experience in Accounting, Finance, or a related field is preferred.
  • A minimum of five years of experience in legal billing/receivables with in-depth knowledge of accounting principles and billing software; advanced experience in electronic billing is required.
  • At least two years of supervisory experience in a similar capacity with the ability to assume a leadership role.
  • Advanced proficiency in MS Applications, including Excel, Outlook, and Access.
