Job Title: Executive Administration Assistant
Job Summary:
We are seeking a highly organized and detail-oriented Executive Administration Assistant to join our team at Diverse Lynx LLC. The successful candidate will be responsible for providing administrative support to our executives and ensuring the smooth operation of our front office.
Key Responsibilities:
- Front Office Management: Manage the day-to-day activities of the front office, including receiving clients and guests, ensuring security protocols are followed, and maintaining the cleanliness and organization of the reception area.
- Administrative Support: Provide administrative support to our executives, including preparing and assisting during client visits, managing printing requests, and coordinating shipping of items.
- Supply Management: Order and manage office supplies, including pantry items, copiers, and office equipment.
- Facility Maintenance: Maintain the cleanliness and maintenance of equipment and liaise with building management as needed.
- Reporting and Billing: Prepare and submit daily and monthly reports, and assist with billing and financial tasks.
Requirements:
- Education: Associate degree (preferred)
- Experience: 2-4 years of experience in a reception or administrative role in a medium-sized facility.
- Skills: Excellent English communication skills (written and verbal), good computer skills (Microsoft Office), and knowledge of office management and basic purchase procurement processes.
- Personal Qualities: Proactive, self-motivated, adaptable, professional, and able to multitask.
