We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Source One Technical Solutions. As an Administrative Assistant, you will provide administrative support to our Department/Group, performing a variety of tasks to ensure the smooth operation of our business.
Key Responsibilities- Administrative Support: Provide administrative support to various levels of management, handling routine and non-routine assignments, projects, and other related administrative tasks.
- File Management: Maintain files, update departmental lists, track deadlines, and ensure timely file close-outs.
- Correspondence and Communication: Screen, direct, and prioritize incoming correspondence and phone calls to appropriate parties, and maintain and coordinate calendars.
- Document Preparation: Prepare, proofread, and edit documents for accuracy and completeness, and perform clerical duties such as typing and filing.
- Time Administration: Manage work orders, invoicing, schedules, and facility compliance commitment tracking, and maintain personnel records, including absenteeism and vacations.
- Research and Reporting: Research issues, prepare summaries, memos, and other necessary documents, and draft, proofread, and edit documents as needed.
- Database Management: Create or maintain databases, and act as a liaison between internal and external stakeholders as needed.
- Customer Service: Provide assistance to new employees through the onboarding process, maintain and handle confidential information with discretion, and provide backup coverage to other administrative support as needed.
- Cross-Functional Support: Perform cross-departmental support in a matrixed environment, and process customer payments, perform invoice review and verification, and work off hours during emergent conditions.
- Education: High school diploma or GED.
- Experience: 5+ years of previous administrative/clerical experience or relevant experience.
- Skills: Strong organizational and time management skills, excellent oral and written communication and interpersonal skills, and the ability to work well under pressure, meet deadlines, and identify and resolve problems in a timely manner.
- Software Proficiency: Solid knowledge of Microsoft Office and various software applications, including SAP, Concur, Outlook, and other Client systems.
- Personal Qualities: Willingness to learn new processes, procedures, and software applications, and the ability to work independently and effectively handle multiple tasks simultaneously under pressure.
