Position Title: Receptionist

Position Summary:

We are in search of a reliable and conscientious Receptionist to join our Pretrial Services Department. In this role, you will be the first point of contact for all visitors to our office, ensuring a welcoming and positive experience. The ideal candidate will possess empathy, exceptional communication skills, and a high level of organization. You will play a crucial role in supporting our Supervised Release Program participants and staff by maintaining efficient front desk operations and performing various tasks that contribute to the effectiveness of our program.

The Supervised Release Program (SRP) within the Pretrial Services Department is dedicated to diverting individuals from pretrial detention to community-based supervision and support services. Our participants include youth, individuals facing substance use challenges, those with mental health issues, and people experiencing homelessness. It is essential for our staff to engage with participants in a manner that encourages them to recognize their strengths and pursue meaningful improvements in their lives while meeting all court obligations.

Compensation: The annual salary for the Receptionist role is $42,000.

Work Schedule: This is a full-time position, Monday through Friday, from 9 AM to 5 PM.

Work Environment: This position requires on-site presence.

Key Responsibilities:

  • Welcome clients and visitors, determining the purpose of their visit.
  • Professionally handle incoming calls, providing accurate information and assistance.
  • Oversee the waiting area to ensure a safe and healthy environment for clients and staff.
  • Assist staff with administrative and clerical tasks as directed by the Borough Director.
  • Manage incoming mail by sorting and distributing it appropriately.
  • Provide triage support and direct assistance to program participants as necessary.
  • Perform data entry for Court Programs into the database, ensuring accuracy as instructed.
  • Create and maintain organizational documents, such as spreadsheets and charts, to facilitate efficient program coverage.
  • Deliver culturally competent services in line with organizational policies and procedures.
  • Undertake additional tasks as assigned by supervisory and executive staff.

Qualifications:

  • Associate's degree or a High School diploma with 2-3 years of relevant experience.
  • Strong organizational skills and meticulous attention to detail.
  • Excellent verbal and written communication abilities.
  • Commitment to confidentiality.
  • Exceptional interpersonal skills.
  • Proficiency in word processing and spreadsheet software (MS Word, Excel), with experience in PowerPoint preferred.
  • Ability to work independently and demonstrate initiative.

Preferred Skills:

  • Experience in conflict management and de-escalation techniques is advantageous.
