Job Summary:

The Sales Coordinator plays a crucial role in delivering comprehensive administrative support to the Sales Department. Responsibilities include managing sales orders, maintaining customer records, and handling return authorizations. This position serves as a vital link between internal teams and external clients, ensuring a smooth sales process and fostering positive customer relationships.

Key Responsibilities:

  • Respond to initial customer inquiries via phone, providing essential information and directing calls to the appropriate sales personnel.
  • Efficiently process sales orders, return material authorizations, credit requests, and advance payment invoices.
  • Collaborate closely with the Credit, Production, and Shipping Departments to guarantee exceptional service and timely delivery.
  • Monitor quotation activities, tracking status and success rates, and assist the Field Sales Engineer in following up on lost quotes.
  • Keep track of open orders and backlogs to provide timely updates to customers.
  • Work alongside the Sales Manager and Credit Department to resolve short remittance and non-payment issues.
  • Gather necessary information for setting up new accounts, ensuring accurate entry into the customer master file.
  • Support company sales events, client meetings, and overall customer communications.
  • Assist with special projects by supplying required information/documents or entering data as needed.
  • Act as a backup for the company receptionist, managing general phone inquiries and welcoming guests.

Job Requirements:

  • A minimum of one year of sales experience, ideally in a technical field. A college degree is advantageous.
  • Proficient in computer applications, particularly Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), and Adobe, with a strong aptitude for learning new technologies.
  • Familiarity with Epicor Vantage or similar CRM systems is preferred.
  • Ability to manage multiple projects effectively in a fast-paced, deadline-driven sales environment.
  • Highly organized, proactive, and detail-oriented, ensuring efficient operations within the Sales Office.
  • Strong proofreading capabilities along with excellent written and verbal communication skills.
  • Ability to work independently with minimal supervision while also being a collaborative team member.

Compensation: $22 to $26/hour.
