Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to provide administrative support to two undergraduate and two graduate academic programs, department faculty, department chair, and assistant director.

Key Responsibilities
  • Coordinate internal and external communications, including course scheduling, curriculum revision processes, and department records management.
  • Support accreditation and faculty promotion processes, as well as student recruitment, applications, and advising processes.
  • Provide a welcoming first contact for prospective and current students and faculty, and coordinate campus tours and visits for the department.
  • Manage procurement, hiring, supplemental pay, and reimbursement processes for the department, as well as coordinate travel and events.
  • Supervise work study students and maintain department website and other outreach media.
Requirements
  • High school graduation and at least seven years of related experience involving duties of increasing responsibility requiring discretion and independent judgment.
  • Advanced computer skills, including email and calendars, spreadsheets, database and website management, use of search engines, presentations, and other software applications.
  • Effective written and oral communication skills, organizational skills, and ability to effectively multi-task.
  • Ability to establish and maintain effective working relationships with faculty, staff, students, and the general public.
Preferred Qualifications
  • Bachelor's degree
  • Supervisory experience
  • Experience in a college/university work environment
  • Advanced proficiency in computer software programs (Microsoft Office suite; Adobe, mail merge, DRUPAL, spreadsheets, presentation software)
  • Experience with university-wide programs (e.g., Banner, Workday, WEBI, Time and Room, Canvas, My Courses, etc.)
