Operations Supervisor

We are seeking an experienced Administrative Support Manager to join our team at Kay Search Group. The successful candidate will be responsible for overseeing daily operations, managing staff, and ensuring the smooth functioning of our administrative processes.
Key Responsibilities- Operational Management: Coordinate and oversee daily assignments, ongoing projects, and professional development of employees.
- Leadership and Development: Provide leadership and continued professional development for the departments, including the advancement of training initiatives.
- Team Collaboration: Promote an environment of teamwork and self-directed work teams by incorporating internal and external training methodologies and the continual evolvement of team efficiencies.
- Workflow Management: Collaborate with the Office Administrative Director and/or Director of Legal Assistant Services to ensure proper daily workflow and assignments of attorney/secretarial and attorney/legal assistant teams.
- Operational Support: Assist with determining the operational support required for new cases and overall case management.
- Communication: Meet with attorneys regularly to determine the operational support required for new matters and overall case/deal management.
- Process Improvement: Consult with attorneys to ensure proper daily and long-term work flow and assignments of attorney /secretarial and attorney/legal assistant teams.
- Reporting and Compliance: Monitor time, attendance, overtime, and expense reports to ensure accuracy and compliance with Firm policies.
- Financial Management: Work with the Office Administrative Director and/or Director of Legal Assistant Services to prepare and monitor department budgets and expenditures.
- Workplace Management: Actively assist with coordinating work room and review space.
- Staffing and Performance: Coordinate legal assistant staffing with supervisors and managers in other offices.
- Employee Development: Oversee employee work performance and provide guidance in the resolution of problems.
- Education: Bachelor's degree required.
- Experience: Minimum 7 years of relevant administrative management experience in a law firm and/or professional services field.
- Leadership Skills: Demonstrated experience with leading and supervising others.
- Technical Skills: Knowledge of relevant firm computer software programs (e.g., Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems.
- Industry Knowledge: Working knowledge of litigation matters and corporate transactions with litigation support/legal technology experience.
- Project Management: Proven ability to effectively lead, coordinate and implement projects, processes and change management.
- Industry Awareness: Current knowledge of industry best practices, trends and techniques.
- Authority and Discretion: Ability to execute instructions and Firm policies with authority.
- Complex Issue Resolution: Ability to handle more complex issues/duties requiring independent exercise of discretion and judgment.
