Job Title: Administrative Assistant
Job Summary:
We are seeking an experienced Administrative Assistant to provide high-level administrative support to our team. The successful candidate will have a strong background in office administration and management, with excellent communication and organizational skills.
Responsibilities:
* Provide administrative support to the team, including preparing reports, handling information requests, and performing clerical functions.
* Assist with scheduling meetings, arranging conference calls, and organizing travel.
* Screen incoming correspondence, refer to appropriate staff, and follow up to ensure timely response.
* Perform special assignments, studies, and routine administrative functions as directed.
* Manage varied tasks assigned by the Life Bureau Deputy Superintendent.
* Experience managing travel and other business expense reimbursement for senior staff.
Requirements:
* Three years of experience working directly for a person in an executive position as an administrative assistant.
* Three years of administrative assistant experience in the financial or legal sectors.
* Excellent verbal communication, writing, and interpersonal skills.
* Strong project management skills, including experience managing multiple time-sensitive, complex projects simultaneously.
* Detail-oriented with the ability to organize and prioritize tasks effectively in a fast-paced environment.
* Proficiency with Microsoft 365, including working experience with Excel, WebEx, and Zoom.
* Ability to work individually and as part of a team.
* Ability to track and manage reporting projects without daily oversight.
