Administrative Coordinator

We are seeking an experienced Administrative Coordinator to join our team at MJHS. The successful candidate will be responsible for managing calendars, scheduling appointments, and preparing minutes and agendas for administrative meetings. Additionally, they will assist with editing and formatting policies, receive and screen incoming calls and correspondence, and represent the office of Administration in a professional manner.
Responsibilities
- Manage calendars and independently schedule appointments and meetings.
- Prepare minutes, agendas, etc. for Administrative meetings and Administrative memorandums upon direction.
- Assist with editing and formatting policies.
- Receive and screen incoming calls and correspondence and respond independently when possible and appropriate.
- Represent the office of Administration in a professional manner both orally and in writing.
- Establish and maintain documents and records in an appropriate filing system, including electronic files.
- Manage petty cash distribution, processes invoices for payments and prepares check requests.
- Manage the intake, tracking and distribution of resident valuables held for safekeeping.
- Prepare and file legal documents, contracts and other Administrative documents.
- Distribute mail within the Administrative office.
- Collaborate with corporate services resources as appropriate.
- Provide relief/coverage in the absence of the Executive Assistant.
- Prepare and maintain all documents and binders required for all regulatory surveys.
- Maintain time and attendance records for all Administration Leadership and their Direct Reports.
- Assist with data collection and spreadsheet completion for daily mandatory reporting.
- Create and maintain various basic databases and spreadsheet files as assigned.
- Maintain inventory of office supplies for Administrative office.
- Coordinate planning of special events, programs, or conferences by securing appropriate arrangements through the use of established vendors and venues.
- Arrange travel plans, compiles documents for travel related meetings, and accompany Administrator when requested.
Requirements
- High School Diploma or equivalent required.
- Minimum three (3) years experience as an Office Assistant/Secretary required, 1 or more of those years in a health care setting preferred.
- Excellent computer and keyboarding skills.
- Organization and office management skills.
- Ability to recognize and secure confidential matters.
- Excellent communication skills.
- Type a minimum of 50 words per minute.
