The Practice Administrative Associate plays a crucial role in facilitating patient care and physician operations by welcoming patients and visitors, managing phone inquiries, scheduling appointments, and maintaining medical records.

This position necessitates a candidate with a solid understanding of front desk operations in a medical setting. Key responsibilities include:
Responsibilities
  • Manage the appointment scheduling system, including modifications and updates.
  • Communicate any scheduling changes to relevant staff and healthcare providers.
  • Oversee the check-in process and front desk operations to ensure efficient and high-quality service delivery.
  • Greet patients upon arrival, confirming and collecting necessary information and signatures in line with organizational policies.
  • Handle incoming calls with professionalism, assisting callers, taking detailed messages, and directing inquiries to the appropriate personnel.
  • Maintain excellent telephone etiquette when interacting with patients and healthcare teams.
  • Process necessary pre-authorizations for diagnostic tests and procedures as required by insurance providers.
  • Track and manage referrals received by the practice.
  • Maintain electronic and paper medical records in accordance with established policies.
  • Perform daily administrative tasks such as retrieving messages, managing faxes, filing, photocopying, and sorting mail.
  • Forward calls to the answering service and inform them of on-call physician status.
  • Collect and reconcile patient co-payments and manage cash transactions in accordance with policy.
  • Participate in quality improvement initiatives and contribute to team and departmental evaluations.
  • Attend and engage in staff meetings to foster collaboration.
  • Utilize effective communication methods to interact professionally with diverse individuals.
  • Coordinate efforts to gather patient and family feedback regarding their healthcare experiences.
  • Perform additional tasks as assigned by physicians or management.
  • Provide cross-coverage support as necessary.
  • Assist with chaperoning duties during patient medical procedures when required.
Qualifications

Education
High School diploma or equivalent is required.

Experience
A minimum of 1 year of administrative experience in a healthcare setting or 2 years in an administrative office role is required.

Special Skills
Strong organizational, communication, customer service, and teamwork skills are essential. The ability to manage multiple tasks effectively is crucial. Experience with electronic medical records (EMR) and proficiency in Microsoft Office applications are preferred. A commitment to a patient-centered approach to care is essential.

Demonstrates professional, effective, and tactful communication with patients, families, medical staff, colleagues, vendors, and other departments to promote continuity of care and enhance the clinical image.
