The Practice Administrative Associate plays a crucial role in facilitating patient care and physician operations by welcoming patients and visitors, managing phone inquiries, scheduling appointments, and maintaining patient medical records.

This position requires familiarity with front desk operations in a medical setting. Key responsibilities include:


Responsibilities
  • Manage the appointment schedule, including modifications and updates.
1.1 Ensure timely communication of schedule changes to relevant staff and physicians/providers.

  • Oversee the check-in process and front desk operations to guarantee efficient and high-quality service delivery.
2.1 Greet patients upon arrival, confirming and collecting necessary information and signatures in accordance with established policies.

  • Handle incoming calls with professionalism, providing assistance, taking accurate messages, and directing callers to the appropriate personnel.
3.1 Maintain excellent telephone etiquette when interacting with patients and healthcare team members.

  • Execute pre-authorizations required by insurance providers for upcoming tests and procedures as needed.
4.1 Monitor referrals entering the practice.

  • Maintain electronic and paper medical records in compliance with established policies.
  • Perform daily tasks such as retrieving messages from the answering service, managing voicemail, distributing faxes, filing, photocopying, and sorting mail.
6.1 Forward calls to the answering service and inform them of the physicians' on-call status.

  • Collect and reconcile co-payments and cash transactions in accordance with policy.
  • Contribute to quality improvement initiatives within the team and department.
8.1 Participate actively in staff meetings.

  • Engage effectively and professionally with individuals from diverse backgrounds and experiences.

9.1 Coordinate efforts to gather patient and family feedback regarding their healthcare experiences through surveys and focus groups, and participate in initiatives to address identified needs.


  • Perform additional tasks as assigned by physicians or management.
10.1 Provide cross-coverage as necessary.

  • Assist with chaperoning duties during patient medical procedures as required.
Qualifications

EDUCATION
High School diploma or equivalent is required.

EXPERIENCE
Minimum of 1 year of administrative experience in healthcare or 2 years in an office setting is required.

SPECIAL SKILLS
Strong organizational, communication, customer service, and teamwork skills are essential. The ability to multitask is critical. Experience with EMR systems is preferred, along with proficiency in Microsoft Office applications. A commitment to a patient-centered approach to care is necessary.

Demonstrates professional and effective communication, both written and verbal, with patients, families, medical staff, colleagues, vendors, and other departments to enhance continuity of care and the clinical image.
