Client Services Administrative Coordinator

We are in search of a dynamic, personable, and detail-focused individual to deliver comprehensive office assistance through various clerical functions and related responsibilities.
This role entails managing incoming communications, routing calls to the relevant team members, overseeing mail distribution, and ensuring the smooth flow of correspondence, along with other clerical tasks.
A collaborative spirit is vital for success in this position.
KEY RESPONSIBILITIES
- Welcomes and guides visitors to the organization
- Handles phone calls and directs them to the appropriate personnel or voicemail as necessary
- Provides callers with essential information such as company contact details, directions, and other relevant data
- Manages incoming mail and forwards it accordingly
- Processes company invoices
- Responsible for recording meter readings of equipment
- Coordinates supply collection at the reception area
- Scans all administrative documents as assigned
- Assists with various special projects to support the Administrative Team and organizational objectives
- Tracks supply orders and communicates with the warehouse manager and Operations lead
- Performs additional duties as required
QUALIFICATIONS
- High School diploma required; college degree preferred
- 3-5 years of experience in an administrative role
- 1-2 years of experience in data entry
- Highly organized with the capability to manage multiple priorities
- Proficient in Microsoft Office Suite, with advanced Excel skills preferred
- Exceptional communication abilities
- Must embody and advocate for Offix's commitment to Total Customer Satisfaction
- Familiarity with e-Automate software is advantageous
- Strong problem-solving and analytical skills with a proven track record of enhancing business processes
- Excellent interpersonal skills and a professional demeanor to collaborate effectively with a team
