Overview:
The Office Administration Manager will be responsible for overseeing the coordination, invoicing, procurement, and accounts receivable functions within the organization. This role entails managing the daily operations of the general office administration to ensure that the local district staff effectively supports the achievement of district goals and objectives.

The primary focus of this position is to ensure that administrative processes are optimized to meet customer needs and business objectives.


Responsibilities:


Monitor, measure, and enhance processes and procedures of the administrative staff to effectively meet customer demands and business goals.


Lead the administrative team, which includes hiring, managing, coaching, training, developing, and disciplining office staff while ensuring that all monthly operational goals are achieved.

Maintain the Records of Employment (ROE) and necessary training documentation. Develop and implement the annual physical inventory plan for the district.


Identify process improvements and initiatives aimed at reducing slow-moving inventories. Conduct inventory analysis and management to prevent discrepancies in the General Ledger.

Oversee all open jobs within the department, ensuring accurate billing to customers.


Manage customer and subcontractor contracts to ensure proper filing, processing, invoicing, or payment as required.


Review various documents, including cost reports, management reports, purchase orders, and staffing requirements, to determine personnel or material needs while requisitioning and maintaining necessary supplies.

Establish and manage all subcontractor and supplier accounts.


Oversee employee payroll processing, including tracking paid time off (PTO), preparing reports for bargaining employees as necessary, and reviewing and submitting expense reports for hourly staff.

Foster collaborative relationships with the District's Fulfillment and Operations Management teams. Analyze accounting records to ensure audit readiness.


Report audit findings to management.


Supervise staff who communicate with customers via phone or email to ascertain reasons for payments and review terms of sales, service, or credit contracts.

Facilitate payment arrangements or establish repayment schedules based on customers' financial situations.


Track and manage overdue accounts, documenting the financial status of customers and the progress of collection efforts.


Perform additional responsibilities as assigned.



Qualifications:
Education Requirements

High School Diploma or 10 years of equivalent experience

Bachelor's degree preferred

Requirements:
Ability to work effectively within a diverse team in a fast-paced environment.

Proven ability to manage multiple priorities and tasks while maintaining high attention to detail.

Strong verbal and written communication skills.

Intermediate to advanced proficiency in Microsoft Office Suite.

Excellent organizational and time management skills.

Able to meet both short- and long-term deadlines.

Willingness to work outside of normal hours and on weekends as necessary.
