Job Title: Administrative Assistant

We are seeking a highly skilled and detail-oriented Administrative Assistant to join our team at SERVPRO of Marietta West. As an Administrative Assistant, you will be responsible for providing exceptional customer service, managing work-in-progress, and ensuring all staff are updated on daily changes to job status and schedule.

Key Responsibilities:
  • Provide customer service and maintain a log of all calls, responding to customers in a courteous and professional manner.
  • Manage work-in-progress, ensuring all staff are updated on daily changes to job status and schedule.
  • Complete FNOL documentation, verifying all customers, source, and loss data is properly entered into Servpro databases.
  • Prepare job paperwork for job crew, ensuring they have all necessary information at the loss site.
  • Enter estimates, converting scope from Drybook into electronic estimates, verifying all information is accurate to what was completed on the job site.
  • Maintain job file documentation, ensuring job files are accurate and contain all required documents.
  • Communicate daily progress of jobs and pertinent job data, capturing it as it happens.
  • Maintain national accounts compliance, ensuring all required file uploads and job file audits are compliant and communicating issues to management and owners.
  • Maintain file systems, keeping appropriate files and paperwork easily accessible.
  • Manage outgoing and incoming calls and emails, ensuring all correspondence is handled timely, professionally, and accurately.
Requirements:
  • Excellent interpersonal and customer service skills.
  • Ability to handle potentially demanding situations and customers.
  • Clear and professional communication skills via phone and email.
  • Able to work alone with minimal supervision.
  • Ability to learn new software, including Xactimate.
  • Ability to successfully complete a background check subject to applicable laws.
  • Minimum high school diploma or GED.
