**Job Summary:**

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Happiness House CP Rochester. As an Administrative Assistant, you will provide administrative support to our Residential Program, ensuring the smooth operation of our daily activities.

Key Responsibilities:

  • Administrative Support: Provide high-level secretarial support to the Residential Vice President and Program Director, including scheduling meetings, organizing travel, and preparing reports.
  • Communication: Maintain confidentiality of information relating to individuals and their families, and communicate effectively with staff, families, and community resources.
  • Record Keeping: Update departmental records, process invoices, and maintain accurate and timely records.
  • Office Management: Order office supplies, maintain the copier, and ensure the office is well-organized and equipped.
  • Reception Support: Provide support to the agency reception desk as needed, including greeting visitors and responding to phone and email inquiries.
  • Meeting Support: Take, type, and distribute meeting minutes as assigned.
  • Professional Development: Participate in conferences, workshops, and in-service training to enhance job skills and personal growth.

Requirements:

  • Education: High school diploma or GED; an Associate's degree is preferred.
  • Experience: Previous successful experience in administrative/clerical work is preferred.
  • Skills: Knowledge of office management, office machines, phone systems, and proficiency in typing; proficient in the use of Microsoft Office software (Word, Excel, PowerPoint).
  • Personal Qualities: Ability to comply with professional standards of conduct, including a pleasant speaking voice and courteous manner.

  • Communication: Strong communication skills, both written and verbal.
  • Organization: Excellent organizational skills, with the ability to prioritize tasks and manage time effectively.

Work Environment:

This is a full-time position with a 30-hour workweek, Monday through Friday, 8:30am-3:00pm. Evening work may be required as job duties demand.
