Job Overview

The Leave Management Specialist is responsible for overseeing and managing employee leave requests and accommodations that require specialized attention, particularly those related to the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), and various state and local leave regulations. This role also includes assisting in the administration of all employee benefits and retirement programs, encompassing medical, dental, vision, life insurance, short- and long-term disability, and 401(k) plans.

Key Responsibilities:

Engage with employees to discuss their leave needs and modified work schedules, ensuring they understand their responsibilities and the necessary documentation for leave qualification. Manage the FMLA leave administration process from the initial notification of the need for leave through to the employee's return to work. Maintain open communication with employees on leave to support a smooth transition back to work, facilitating communication between employees and their supervisors as appropriate. Provide guidance to managers and employees regarding the interplay of leave laws with paid time off, workers' compensation, and disability benefits. Oversee the reintegration process for employees returning from extended leave, including FMLA and workers' compensation. Facilitate additional leave requests, including accommodation requests under the ADA. Administer other company time-off programs in accordance with internal policies and applicable laws. Keep comprehensive and accurate records of leave and accommodation requests, adhering to legal requirements and best practices. Ensure the confidentiality of employee medical records and documentation. Stay informed about all relevant leave and accommodation laws, including FMLA, ADA, and state and local regulations. Address benefit inquiries from managers and employees regarding plan details, enrollment processes, status changes, and general questions. Verify the accuracy of all benefits enrollments in the HRIS to provide vendors with correct eligibility information. Coordinate the annual open enrollment process, which includes participating in renewal discussions, setting up benefit plans in the HRIS, providing resources to employees, organizing educational meetings, assisting with enrollments, and verifying data post-enrollment. Act as the primary contact for all safety-related matters; manage workers' compensation claims, ensure compliance with safety regulations, address safety concerns, and coordinate necessary safety training. Monitor, review, and implement any new federal, state, and local labor laws relevant to the organization. Generate monthly benefits reports and complete benefit invoicing.

Qualifications:

A minimum of 1-3 years of experience in a similar capacity. An Associate's degree is required; a Bachelor's degree in Human Resources, Business, or a related field is preferred, along with one or more years of experience in Human Resources. Proficiency in Microsoft Office Suite. Familiarity with employee benefits and relevant laws. PHR or SHRM-CP certification is preferred.
