**Job Summary**

The Office Administrator is a core in-office role responsible for providing top-notch customer service, administrative support, and operational expertise to our sales team. This position reports to the Sales Manager and is the first point of contact for clients, agents, and vendors.

**Key Responsibilities**

  • Provide exceptional customer service, welcoming and coordinating guests, and building relationships with clients and agents.
  • Manage and execute standard operating procedures, tracking processes, and administrative tasks, including budgeting, SpaceIQ, and ordering.
  • Process and track customer commission checks, referrals, and CDAs, ensuring accuracy and timeliness.
  • Ensure the office environment is clean, organized, and well-maintained, including reception, conference rooms, kitchen, and common areas.
  • Collaborate with the Workplace Operations team and other departments on special projects and initiatives.
  • Oversee event planning and logistics, including scheduling, catering, and audio-visual equipment.
  • Manage internal communications, including office updates and newsletters, and provide administrative support to the Sales Manager.
  • Field internal and external inquiries, and liaise with vendors and logistics teams.

**Requirements**

  • Service experience with a focus on hospitality, customer service, and facilities management.
  • Real estate brokerage experience preferred.
  • Proven track record of experience with technology platforms, including CRM tools and marketing design software.
  • Ability to multitask, establish priorities, meet deadlines, and make sound decisions.
  • Strong detail orientation, organizational skills, and articulate verbal and written communication.
  • Proactive and resourceful, with a working knowledge of Google Workplace applications and CRM tools.
