Job Title: Client Service Representative

We are seeking a highly skilled and proactive Client Service Representative to join our Claims Management Team at SERVPRO Global DRT in Encino, California.

Job Summary

The successful candidate will be responsible for project managing and communicating the status of a job to all relevant parties from the moment of the initial loss to the finish line. This includes email communication, data entry, phone communication, coordination, and internal communication.

Key Responsibilities
  • Email Communication: Send introduction emails to clients, daily update emails to clients, carriers, consultants, and interested parties, and email communications with 3rd parties as needed.
  • Data Entry, Collection, and Analysis: Send Work Orders to the field team, review photos and Docusketchs, confirm T&M / Scope sheets have been uploaded to Egnyte, and analyze data to ensure accurate job details.
  • Phone Communication: Speak with PMs every morning, mid-day check-in calls, end-of-day calls, host/memorialize phone calls via email, and weekly phone/video meetings to discuss job progress.
  • Coordination and Scheduling: Coordinate hotels/rooms for out-of-state jobs, send calendar invites, ensure necessary forms are signed, and partner with team members for permits.
  • Internal Communication: Answer questions from estimators, T&M team, billing/accounting, reconstruction, and other SERVPROs involved in a job.
  • Coordinating with 3rd Parties: Confirm jobs with clients, tenants, coordinate third-party vendors, and obtain/analyze proposals for management review/approval.
  • Preparing Billing Packages and Estimate Requests: Prepare TBB, estimate requests, ROM requests, and submit T&M notification forms.
  • Client Troubleshooting and Support: Resolve issues and questions that arise, and provide excellent customer service to ensure client satisfaction.
Requirements
  • Self-starter and proactive.
  • Excellent written and verbal communication skills.
  • Customer service oriented with a proactive, "can-do" positive attitude.
  • Comfortable working with ambiguity.
  • Honest and transparent.
  • Not afraid to jump in where needed.
  • Prior experience in EMS, construction, insurance is a plus but not required.
  • Must be able to work in person at our Encino office 5 days per week and able to travel to job sites as needed.
  • You are authorized to work lawfully in the United States.
