The Client Relations Specialist plays a crucial role within our organization, offering support through various tasks focused on organization and effective communication. This position involves interacting with a diverse range of significant external contacts and internal team members across all levels of the firm. Independent judgment is essential for planning, prioritizing, and managing a varied workload.
Key Responsibilities:
As a Client Relations Specialist, your duties will encompass the following:
- Manage incoming calls, screening and redirecting as necessary.
- Maintain and organize calendars.
- Participate in internal meetings, documenting notes and ensuring follow-up actions are completed.
- Work autonomously and collaboratively, serving as project manager for special initiatives.
- Support team members by addressing operational and administrative challenges.
- Ensure all tasks are completed efficiently and effectively.
- Update and prepare marketing lists for quarterly meetings.
- Facilitate regular client meetings by utilizing the Meeting Frequency Report.
- Meeting Preparation and Follow-Up:
- Prepare for meetings by scheduling, logging details in Salesforce, and submitting requests for necessary resources.
- Follow up post-meeting by organizing notes and documentation, updating Salesforce until all tasks are finalized.
- Manage and update Salesforce, including creating and modifying client information.
- Assist in coordinating client onboarding processes, including agreements and account management.
- Oversee DocuSign processes, file organization, and collaboration with tax teams.
- Arrange travel and other logistical needs.
- Draft and revise documents such as correspondence, reports, and meeting materials.
- Provide general administrative support, including mailing and document handling.
- Maintain Excel spreadsheets for client tracking, such as travel expenses.
- Perform personal tasks as required.
- Act as a backup for the Office Administrative Assistant when necessary, including greeting visitors and managing phone inquiries.
- Contribute to team initiatives as needed.
- Bachelor's degree is preferred but not mandatory.
- 1-2+ years of relevant experience is preferred.
- A collaborative team player who embraces constructive feedback for continuous improvement.
- Detail-oriented with excellent verbal and written communication skills, along with strong organizational abilities.
- A proactive attitude with a willingness to undertake tasks of all sizes to ensure timely completion.
- Proficiency in technology and applications is essential, with experience in eMoney, Salesforce, and Excel being advantageous.
