Client Relations Specialist

As a Client Relations Specialist, your primary responsibility will be to provide outstanding service, acting as a crucial link between our clients and the organization. You will assist with various inquiries related to pricing, product availability, order confirmations, delivery schedules, and invoicing.

To excel in this position, you should focus on supporting both external and internal clients, communicating with patience, empathy, and enthusiasm. Our Client Relations Specialists are dedicated to understanding our clients' needs and advocating for them when necessary.

Key Responsibilities:

  1. Foster and maintain strong client relationships through effective communication and operational support.
  2. Process, track, and follow up on client purchase orders.
  3. Provide timely and accurate information regarding material delivery and order status, proactively informing clients and the sales team of any discrepancies.
  4. Communicate material lead times, product availability, and pricing to clients in a friendly and efficient manner, ensuring exceptional service.
  5. Handle invoice creation and necessary corrections, as well as manage material returns.
  6. Coordinate showroom visits, leading material presentations and reservations.
  7. Resolve client issues from order placement to delivery, while managing account receivables.
  8. Offer support to clients via phone, in-person, and email communications.
  9. Conduct analyses in SAP as requested by management or the sales team.
  10. Oversee showroom maintenance, including supply ordering, equipment upkeep, and marketing material placement.
  11. Log daily visitor interactions and events in our CRM system.
  12. Assist the sales team by preparing sample shipments and monitoring stock levels, highlighting potential stock issues to help achieve sales targets.
  13. Perform additional tasks as assigned by management.

Qualifications:

Experience:

  • Minimum of 3 years in a client service role.
  • At least 2 years of experience with invoicing and order processing.

Education:

  • High School Diploma or GED required.
  • College degree preferred.

Knowledge:

  • Proficient in computer applications, including Outlook, Excel, and Word.
  • Familiarity with SAP, ERP, or order management systems is a plus.

Skills:

  • Exceptional client service abilities, with experience in a fast-paced environment.
  • Strong multitasking capabilities.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Advanced proficiency in both French and English is preferred in specific regions.
