Job Description:

We are looking for a highly skilled Construction Project Coordinator to support our client's construction projects in the Entertainment and Media Industry. The successful candidate will work on-site, reporting to the client's office in Burbank, CA.

The primary responsibilities include:

  • Assisting the Director of Projects in project start-up, system setup, timelines, meeting notes, and communications for all Studio Services projects.
  • Gathering and tracking estimates from various WBSO trades and/or external vendors as required for assigned projects.
  • Creating slide decks and presentations for each project to present to clients and share with Executive Management at Bi-Monthly and Quarterly meetings.
  • Assisting with on-boarding new vendors, including requesting COI, Contracts, NDAs, passes, lot/building access, etc.
  • Maintaining digital department records, including confidential project information and detailed schedules.
  • Organizing, categorizing, and compiling construction project materials.
  • Arranging outside engineer/vendor support services in coordination with the Construction Services team, as needed.
  • Compliance reporting and tracking.
  • Compiling and updating job update reports for distribution to clients.
  • Tracking project timelines and milestones, material orders, equipment delivery dates, trade installation schedules, etc.

Required Skills and Qualifications:

To succeed in this role, you should have:

  • 3-5 years of experience in construction services, architectural or general contractor firms, or construction contractor license a plus.
  • Experience in project management support to one or more executives in a fast-paced, multi-project environment.
  • High School diploma Required/College or trade school specific certification preferred.
  • Previous experience doing project coordination.
  • Project organization and presentation skills.
  • Excellent computer proficiency and advanced knowledge of Microsoft Outlook, Word, Excel, PowerPoint, as well as applications such as Zoom, Microsoft Teams, and Adobe Suite.
  • Verbal and written communication skills, multi-tasking, customer service skills, and interpersonal skills.
  • Ability to work independently and manage one's time.
  • Ability to keep information organized and confidential.
