  • We are seeking a skilled Construction Project Coordinator to support our client's operations within the Entertainment and Media Industry.
  • The ideal candidate will have 3-5 years of experience in construction services, architectural or general contractor firms, with a construction contractor license a plus.

Responsibilities:

  1. Assist the Director of Projects in project start-up, system set-ups, timelines, meeting notes, communications for all Studio Services projects as required.
  2. Gather and track estimates from various WBSO trades and/or external vendors as needed for assigned projects.
  3. Create slide decks and presentations for each project to present to clients and share with Executive Management at Bi-Monthly and Quarterly meetings.
  4. Support the onboarding of new vendors with Procurement and Legal departments (requesting COI, Contracts, NDAs, passes, lot/building access, etc.).
  5. Maintain a wide variety of digital department records including confidential project information and detailed schedules.
  6. Assist with organizing, categorizing, and compiling of construction project materials.
  7. Arrange outside engineer/vendor support services in coordination with the Construction Services team as needed.
  8. Assist with compliance reporting and tracking.
  9. Compile and update detailed job update reports for distribution to clients.
  10. Track project timelines and milestones, material orders, equipment delivery dates, trade installation schedules, etc.
  11. Compile and organize project files, including as-builts, schedules, and budgets.
  12. Organize and maintain project files, assist with taking project meeting notes, and provide status update and action item notes following meetings.

Requirements:

  • 3-5 years of experience in construction services, architectural or general contractor firms, construction contractor license a plus.
  • Experience in project management support to one or more executives in a fast-paced, multi-project environment.
  • High School diploma Required/College or trade school specific certification preferred.
  • Previous experience doing project coordination.
  • Project organization and presentation skills.
  • Excellent computer proficiency and advanced knowledge of Microsoft Outlook, Word, Excel, PowerPoint, as well as applications such as Zoom, Microsoft Teams, and Adobe Suite.
  • Verbal and written communication skills, multi-tasking, customer service skills, and interpersonal skills.
  • Ability to work independently and manage one's time.
  • Ability to keep information organized and confidential.

Salary: $27.30-$39.00/hour
