This role demands a unique combination of sales support responsibilities while overseeing our Customer Experience Center to guarantee outstanding customer service. As you embrace and reflect PeopleSpace's culture, values, policies, and procedures, you will also gain invaluable experience in the contract furniture sector, including insights into Haworth products.

Key Responsibilities:

The Sales Support Specialist will concentrate on the following areas daily:

  • Administrative Assistance
    • Serve as the liaison between the Managing Director and employees/clients.
    • Participate in the Culture Committee to plan and execute meetings/events within budget.
  • Customer Experience Center Oversight
    • Manage and order kitchen, office, janitorial, and printing supplies from vendors.
    • Ensure the storage room and overall appearance of the Customer Experience Center are well-maintained.
    • Coordinate with the Property Manager/janitorial services for repairs.
    • Facilitate internal communication, including distributing information and scheduling presentations.
    • Organize client events such as showroom tours and IIDA events, ensuring preparation and cleanup.
    • Prepare for internal events, including vendor lunch & learns and sales/management meetings.
    • Maintain the library by ordering Haworth samples and collaborating with vendors for updates.
  • Reception Duties
    • Handle incoming calls to the Customer Experience Center and other locations.
    • Receive messages and locate employees for urgent matters.
    • Welcome guests, offering refreshments and directing them to meeting spaces.
    • Prepare conference rooms for calls, including catering/snacks and printed materials.
    • Coordinate employee parking cards and guest parking.
  • Mail and Shipping Management
    • Manage daily mail distribution, including invoices, checks, correspondence, and samples.
    • Utilize FedEx/UPS accounts online for shipping samples and checks.
    • Occasionally receive shipments of small furniture items at the Customer Experience Center.
  • Order Preparation
    • Assess incoming client needs and assist in product specification and research.
    • Prepare presentation materials, including lookbooks.
    • Obtain labor and pricing quotations from vendors.
    • Assist in preparing pricing quotations and budgetary summaries.
    • Prepare quotes for customer presentations.
    • Manage the pickup and drop-off of finish samples.
    • Assist with placing orders into the system.
  • File Maintenance
    • Help create and maintain client standards, such as project finish schedules.
  • Administrative Support
    • Adhere to established company policies, processes, and procedures.
    • Track all time using Netsuite, aiming for 80% direct project hours.
    • Participate in product, software, and other training sessions.
    • Communicate effectively with other PeopleSpace team members.
    • Attend company meetings.
