Overview: The Audio Visual Coordinator for the Conference Center will facilitate the seamless operation of events from initial inquiry through planning and on-site execution. This position is dedicated to providing exceptional service and leveraging expertise in audio, video, and technology to support the Conference Center team while collaborating with the Booth AV team.

Key Responsibilities:

  • Act as the primary contact and audio-visual consultant for the Conference Center Sales team during the inquiry and proposal stages, as well as for the Conference Center Services team during event planning and execution. Provide expert solutions related to video conferencing, webcasting, audio connections, and best practices for AV usage.
  • Work closely with clients alongside the Conference Services Manager on events requiring dedicated technical support. Responsibilities include direct communication with clients through various channels, conducting site tours, and reviewing event orders for accuracy.
  • Deliver on-site audio-visual assistance in collaboration with the Booth AV team for all Conference Center events, primarily during standard business hours, with occasional evening and weekend support. Duties include client greeting, AV setup, troubleshooting, and serving as the primary contact for outsourced technicians.
  • Identify instances where equipment requests exceed available inventory and coordinate necessary outsourcing.
  • Collaborate with the Booth AV Team Lead to ensure that the weekly AV team schedule aligns with business unit requirements.
  • Serve as a liaison between AV vendors and Conference Center personnel, managing orders, obtaining quotes, and processing purchase orders for outsourced equipment and technicians.
  • Act as the escalation point for any AV-related service issues during and after events.
  • Quickly report equipment malfunctions to the Booth AV team and arrange for maintenance as needed.
  • Reconcile monthly invoices related to audio-visual equipment, labor, and service contracts to ensure accurate billing and resolve discrepancies.
  • Research, develop, install, operate, and troubleshoot audio-visual systems, including video conferencing and digital media technologies.
  • Provide projection services and presentation support for academic and public events, adhering to established operating procedures.
  • Perform additional related duties as required.

Qualifications:

  • Bachelor's degree.
  • A minimum of 5-7 years of relevant work experience in a similar role.
  • Technical training and experience in audio-visual support.
  • Experience in an academic or hospitality environment.
  • At least three years of technical experience in AV support, including proficiency with various audio-visual equipment and software.
  • Demonstrated proficiency in MS Office applications and the ability to quickly learn new technical skills.
  • Experience with Delphi software.
  • Strong troubleshooting abilities and the capacity to resolve technical issues under pressure.
  • Flexibility to accommodate varying work schedules, including evenings and weekends.
  • Ability to work independently and manage audio-visual setups and projects within deadlines.
  • Excellent organizational skills, capable of handling multiple tasks simultaneously while meeting strict deadlines.
  • Proven ability to communicate effectively and diplomatically with a diverse range of stakeholders.
  • Professional demeanor, demonstrating tact, discretion, and a commitment to customer service.
  • Willingness to adapt to changing priorities and tight deadlines.
  • This position requires on-site work.
  • Availability for on-call support and off-hours audio-visual assistance.
