Job Overview

MPF Federal LLC is looking for a Senior Administrative Operations Specialist to provide exceptional support in various operational areas including Financial Operations, Acquisition, and Travel Management. The successful candidate will possess extensive experience in federal environments and demonstrate proficiency in delivering comprehensive administrative services.

Key Responsibilities

Financial Operations Support

  • Oversee the execution of financial support tasks ensuring adherence to established procedures and accuracy.
  • Assist in the resolution of Undelivered Orders (UDOs) by:
    • Entering data into relevant systems with complete and accurate information.
    • Monitoring UDOs through to resolution, collaborating with necessary personnel for updates.
    • Reviewing UDOs for correctness and finalizing their status.
    • Continuously auditing UDOs to confirm that obligation line items are valid and supported by documentation.
    • Providing written justifications for the modification or cancellation of incomplete or erroneous line items.
    • Conducting quarterly evaluations and reporting findings.
    • Ensuring invalid UDOs are de-obligated within a specified timeframe.
  • Review and validate invoices for accuracy upon receipt, ensuring compliance with established timelines.
  • Cross-reference invoices with relevant documentation to ensure correctness.
  • Update vendor information in financial systems as required.
  • Communicate with vendors regarding discrepancies and request necessary documentation.
  • Conduct reviews of purchase card requests and generate necessary reports.
  • Set up and manage accounts within the United Financial Management System (UFMS) as directed.

Acquisition Support

  • Engage in research, tracking, and documentation of procurement activities.
  • Perform data entry and document verification for procurement transactions.
  • Coordinate activities related to purchase cards and contracts.
  • Identify and evaluate vendors to compare pricing and services.
  • Gather necessary documentation to facilitate procurement processes.
  • Screen vendors to support informed decision-making.
  • Compile and submit documentation in line with Standard Operating Procedures (SOPs).
  • Assist in the finalization of contracts and ensure timely updates to records.

Travel Operations Support

  • Ensure timely responses to travel requests and approvals.
  • Verify compliance of Travel Authorization documents with relevant regulations.
  • Review travel packages for completeness and input necessary data into the appropriate systems.
  • Monitor requests and communicate any issues or delays to relevant stakeholders.
  • Conduct thorough reviews of travel authorizations to ensure adherence to federal travel regulations.
Qualifications
  • Bachelor's degree in a relevant field.
  • 5-7 years of pertinent professional experience.
  • Prior experience in federal financial operations, acquisition, or travel support is preferred.
  • Strong skills in data entry, document management, and financial reconciliation.
  • Proficiency in Microsoft Office applications and financial IT systems.
  • Excellent organizational, communication, and interpersonal skills.
  • U.S. Citizenship is required; eligibility for security clearance is mandatory.
