POSITION SUMMARY

As the HVAC Project Management Coordinator, you will oversee the planning, organization, and execution of construction projects related to HVAC systems. This role involves managing material procurement and job site logistics while collaborating closely with the Project Manager. You will play a crucial role in drafting contracts, negotiating modifications with general contractors, architects, engineers, and subcontractors, ensuring the successful completion of construction projects.

KEY RESPONSIBILITIES

  • Exhibit outstanding communication skills with various stakeholders, including:
    • Co-workers

  • Plan and organize tasks to enhance crew productivity by implementing efficient production practices.
  • Engage in project design discussions and suggest improvements as needed.
  • Establish and manage team objectives, project timelines, and new information.
  • Oversee project documentation, ensuring all materials are up-to-date, properly filed, and stored.
  • Direct project communications by preparing and reviewing proposals, memos, meeting notes, and emails.
  • Interact with clients to clarify project requirements, scope, and objectives.
  • Maintain budget adherence by tracking expenses and implementing cost-saving strategies.
  • Comprehend the full Scope of Work (SOW) and specifications for assigned projects.
  • Collaborate with the Project Estimator and Project Manager to ensure timely ordering and receipt of materials and equipment necessary for project execution.
  • Coordinate daily with the project management team to provide field technicians with any missing information and materials.
  • Ensure compliance with safety standards throughout the project, reviewing requirements with the Safety Manager as necessary.
  • Monitor project progress and make adjustments as required.
  • Guarantee that all activities are completed according to the established plan and specifications.
  • Accurately report to supervisors on hours worked, production levels, discrepancies, and completed quantities.
  • Prepare and submit Change Orders and Requests for Information (RFIs) to the Project Manager to ensure project completion aligns with the agreed-upon scope and mechanical drawings.
  • Foster professional relationships with owners, engineers, and team members on-site.
  • Identify opportunities for process improvement and provide additional support to field staff to enhance project execution.
  • Perform additional duties as assigned.

ESSENTIAL QUALIFICATIONS

  • High School Diploma or Equivalent (GED) required, along with relevant experience.
  • Minimum of 2 years of experience in Construction Project Coordination.
  • Proficient in:
    • Microsoft Excel
    • Microsoft Word
    • Microsoft PowerPoint
    • Possession of a clean driving record
    • Valid driver's license

PHYSICAL DEMANDS

  • Ability to sit, stand, walk, use hands/fingers, reach, talk, hear, climb, stoop, kneel, or crouch.
  • Occasional lifting of up to 50 lbs.
  • Travel may be required to monitor the status of multiple projects.
