POSITION SUMMARY

As the HVAC Project Management Coordinator, you will oversee the planning, organization, and execution of HVAC construction projects. Your role will involve coordinating material orders and managing job site logistics while working closely with the Project Manager. You will play a key role in drafting contracts, negotiating modifications with general contractors, architects, engineers, subcontractors, vendors, and clients to ensure the successful completion of each project.

KEY RESPONSIBILITIES

  • Exhibit strong communication skills with various stakeholders including co-workers, management, clients, vendors, and subcontractors.
  • Plan and organize work to enhance crew productivity by implementing efficient production practices.
  • Engage in project design meetings and suggest improvements as necessary.
  • Manage project-related documentation to ensure all materials are up-to-date and properly organized.
  • Prepare and review project correspondences including proposals, memos, meeting minutes, and emails.
  • Communicate with clients to clarify project requirements, scope, and objectives.
  • Monitor expenses to adhere to budget constraints and implement cost-saving strategies.
  • Understand the full Scope of Work (SOW) and specifications for assigned projects.
  • Collaborate with the Project Estimator and Project Manager to ensure timely ordering and receipt of materials and equipment.
  • Coordinate daily with the project management team to provide field technicians with necessary information and materials.
  • Ensure compliance with safety standards throughout the project, collaborating with the Safety Manager as needed.
  • Track project progress and make adjustments as necessary.
  • Ensure all tasks are completed according to the agreed-upon plans and specifications.
  • Accurately report to supervisors on hours worked, production, discrepancies, and completed quantities.
  • Submit Change Orders and Requests for Information (RFIs) to the Project Manager to ensure projects align with the agreed scope and mechanical drawings.
  • Maintain professional relationships with owners, engineers, and team members on-site.
  • Identify opportunities for process improvements and provide additional support to field staff to enhance project execution.
  • Perform additional duties as assigned.

REQUIRED QUALIFICATIONS

  • High School Diploma or Equivalent (GED) required; relevant experience is also acceptable.
  • Minimum of 2 years of experience in Construction Project Coordination.
  • Proficient in Microsoft Excel, Word, and PowerPoint.
  • Possess a clean driving record and a valid driver's license.

PHYSICAL REQUIREMENTS

  • Ability to sit, stand, walk, use hands/fingers, reach, talk, hear, climb, stoop, kneel, or crouch.
  • Occasional lifting of up to 50 lbs may be required.
  • Position may involve travel to monitor the status of multiple projects.
