Job Overview

The Financial Operations Associate plays a crucial role in the meticulous processing and documentation of invoices, expense claims, and vendor payments. This position requires a keen eye for detail and the ability to resolve discrepancies efficiently while adhering to company policies and standards.


Key Responsibilities
  • Validate and process expense claims; reconcile financial reports with account balances and other documentation.
  • Manage vendor payments, including verification of identification numbers, reviewing purchase orders, and addressing any discrepancies.
  • Ensure timely crediting of outstanding obligations upon payment, identify opportunities for discounts, and manage purchase order modifications or stop-payment requests as necessary.
  • Calculate and report applicable sales tax based on processed invoices.
  • Guarantee accurate and timely payments to vendors.
  • Review invoices for correctness and eligibility for payment.
  • Verify payments prior to CFO approval by reviewing checks and vouchers.
  • Maintain thorough records of purchases for tax preparation and periodic audits.
  • Ensure W-9 forms are collected from all vendors and periodically review vendor information for accuracy.
  • Maintain organized filing and storage of records for audit purposes.
  • Process manual check requests as needed.
  • Monitor email communications to ensure timely and accurate entry of invoices into the accounts payable system.
  • Address vendor inquiries and resolve issues promptly.
  • Keep documentation updated and ensure portal accounts are current.
  • Oversee the complete setup of vendors, ensuring all necessary documentation, including W-9 forms, is collected and verify 1099 eligibility.
  • Assist with manual check processing and Concur maintenance.

Qualifications

To excel in this role, candidates should have:

  • A high school diploma is required; a degree in Business or Accounting is preferred.
  • Certification as a Certified Accounts Payable Professional (CAPP) is advantageous.
  • Reliability and a strong sense of trustworthiness.
  • Proficiency in Microsoft Office Suite or similar software.
  • Ability to learn new accounting software systems.
  • Excellent organizational skills and meticulous attention to detail.
  • Capability to maintain confidential and precise records.

Work Environment

The physical demands of this position include prolonged periods of sitting at a desk and working on a computer.
