Essential Qualifications:

  • Minimum of 2 years experience in an Operations or Facilities position with mailroom duties
  • Proficient in Microsoft Windows and the Office Suite, including PowerPoint, Excel, Word, and SharePoint
  • Strong background in customer service and procedural development
  • Exceptional written and verbal communication skills, with the ability to convey complex concepts clearly

Preferred Qualifications:

  • Experience in a combined mailroom and digital production environment
  • Bachelor's Degree

Daily Responsibilities:

  • Coordination: Foster a collaborative environment that encourages excellence, open communication, productivity, teamwork, quality service, and high morale. Organize and maintain project or event planning meetings, providing necessary support for successful execution. Work closely with all operational team members to enhance processes and overall efficiency. Assist with various projects, monitor progress, and identify areas for enhancement. Ensure accurate documentation and record-keeping as required.
  • Copy/Print Duties: Exhibit the ability to achieve results by coordinating internal resources and external vendors effectively. Responsible for generating and entering all Digital Service Job Tickets. Accurately record billing information for completed tasks daily. Perform complex printing operations and processing tasks. Operate production printers, scanners, and copiers. Familiarity with print applications (.doc, .xls, .wpd, .mbd, .mpp, .vwsd, .htm) and image formats (.pdf, .tif, .jpg) received via email or from media/storage. Ability to convert application files to PDF format.
  • Mailroom Duties: Monitor courier and accountable items (FedEx, UPS, Certified Mail, etc.). Investigate and route undeliverable and generic mail. Receive, log, deliver, and track messenger items. Coordinate and manage customized packaging and other special customer requests.
  • Facilities Duties: Contribute to the delivery of quality service to clients and personnel by performing general repairs and maintenance on office premises, furniture, and equipment. Assist with office relocations and furniture arrangements, including conference room setups and breakdowns, intra-office moves, and new hire setups.
  • Emergency Preparedness, Safety, and Security Programs: Support programs coordinated by the Physical Security team, including CPR AED training, Emergency Response / MIR 3, and Building / Life Safety drills. Collaborate with the Physical Security team to coordinate training and emergency drills, working with building management as necessary.
  • Property Management: Collaborate with Operations teams on all building-related requests and act as the liaison between those teams and property management.
  • Customer Service: Ensure the highest level of customer care. Oversee the department email account. Coordinate internal resources or vendor services as needed to meet customer requirements.
