Role Summary:

The Service Operations Coordinator is responsible for managing service requests and scheduling appointments effectively. This role involves handling communications via phone and email, ensuring that customer data is accurately entered into the company’s systems.

The coordinator will streamline workflows by organizing correspondence, gathering customer information, and overseeing task assignments.

Key responsibilities include:

  • Maintaining departmental schedules by coordinating calendars for personnel and organizing meetings, conferences, and travel arrangements.
  • Providing excellent customer service by greeting clients and addressing inquiries in a professional manner.
  • Safeguarding customer information and maintaining confidentiality to protect operational integrity.
  • Ensuring equipment functionality by adhering to manufacturer guidelines and established protocols.
  • Utilizing filing and retrieval systems to provide historical references.

This position requires a proactive individual who can work autonomously with minimal oversight. The ideal candidate will demonstrate problem-solving skills in dispatching and scheduling, optimizing work assignments for field teams. Responsibilities also include collaborating with staff to gather, verify, and process necessary documentation.

Additional Qualifications:

  • Familiarity with SAP and Salesforce or similar CRM systems.
  • Experience in scheduling and dispatching technician work orders while effectively communicating job scopes and time requirements.
  • Ability to prioritize repair tasks and optimize technician routes based on job demands.
  • Collaboration with Service Manager and Service Operations Lead to prepare technician schedules.
  • Daily distribution of work orders and adherence to scheduling guidelines.
  • Support in managing non-productive technician time and assist accounts receivable with past due invoice reconciliation.
  • Reconciliation of technician expenses with work orders post-project completion.

Essential Requirements:

  • High School diploma or GED.
  • Valid Driver's License.
  • Minimum of 2 years in customer service roles.
  • At least 1 year of experience in workforce scheduling.
  • 6+ months of experience in customer support via telephone and email.
