Position Summary

The Administrative Support Operations Coordinator is essential in facilitating the operational needs of our organization. This role serves as a pivotal contact for various administrative functions, including Records Management, Safety and Health initiatives, Continuity of Operations Planning, Emergency Preparedness, and Correspondence Management. Located in the Washington, DC area, this position provides critical support to our federal clients, ensuring efficient operations and adherence to compliance standards.

Key Responsibilities

Records Management
  • Lead and coordinate Records Management initiatives, advising on compliance and best practices.
  • Identify and maintain essential documentation that reflects our organization's core functions and decisions.
  • Ensure compliance with national standards throughout the lifecycle of records.
  • Assist staff in navigating records management processes to enhance operational efficiency.
Safety and Health Representative
  • Act as a member of the Safety and Health team, providing guidance on compliance and safety best practices.
  • Conduct regular safety inspections to identify and mitigate potential hazards.
  • Develop and implement engaging safety training programs.
  • Lead initiatives to ensure a safe working environment for all employees.
Continuity of Operations Planning
  • Participate in the Continuity of Operations Planning team to maintain organizational resilience.
  • Collaborate with team members to identify critical functions and systems.
  • Facilitate training to ensure staff readiness for continuity plans.
  • Maintain and update essential continuity documentation.
Emergency Preparedness Coordination
  • Serve as the primary contact for emergency preparedness, ensuring staff readiness.
  • Manage communication equipment and train personnel on emergency protocols.
  • Keep an updated roster of emergency personnel for quick identification during incidents.
  • Review and refine emergency procedures regularly.
Correspondence Management
  • Oversee the management of task assignments, ensuring efficient tracking and resolution.
  • Collaborate with leadership to ensure timely processing of essential documents.
  • Maintain high standards of accuracy in the flow of critical communications.
  • Provide training on correspondence processes and maintain organized resources.
In this role, you will plan daily activities in alignment with company policies and supervisor guidance to maximize productivity. You will also take initiative in your professional development by engaging in available training opportunities.

Qualifications

A high school diploma or equivalent, along with a minimum of five years of relevant experience or training, is required.

Skills and Abilities

Language Skills
Ability to interpret and communicate effectively in both written and verbal formats.

Mathematical Skills
Competence in basic arithmetic and the ability to interpret data.

Reasoning Ability
Ability to apply logical thinking to solve problems and follow instructions.

Physical Demands
This position primarily involves office work, requiring the ability to sit for extended periods and use standard office equipment.
