Job Overview

Position Title: ADMINISTRATIVE ASSISTANT II - FINANCE

Compensation: $20.48/HR

Position Summary: This role involves performing advanced clerical, secretarial, and staff support functions under the guidance of the Chief Financial Officer. The position requires extensive interaction with various stakeholders, including citizens and professionals across multiple departments.

Key Responsibilities:

  • Engage in staff support activities, coordinating office operations, and providing essential information about departmental services.
  • Independently prepare reports and maintain a comprehensive understanding of departmental rules and procedures.
  • Draft correspondence and manage specialized office filing systems, ensuring accurate organization of documents.
  • Handle the receipt and processing of bids and various financial documents.
  • Maintain accurate records of tax funds and assist in financial data entry and report generation.
  • Oversee the creation and management of purchase requisitions and orders within the financial system.
  • Support records retention efforts and assist in the preparation of departmental documentation.
  • Review bank reports to confirm accurate deposit entries and collaborate with accounting staff on discrepancies.
  • Manage petty cash disbursements and coordinate requests for lien information.
  • Provide assistance with business tax inquiries and ensure effective communication with the public.
  • Answer departmental calls, relay messages, and maintain office supply inventories.
  • Collect payments for various accounts and monitor financial transactions.
  • Ensure accuracy in travel expense submissions prior to approval.

Qualifications:

  • High school diploma or equivalent; AA/AS degree preferred.
  • Three to five years of relevant experience in bookkeeping and clerical roles.
  • Strong oral and written communication skills.

Skills and Abilities:

  • Proficient in business English, spelling, and punctuation.
  • Familiarity with office procedures and basic accounting principles.
  • Ability to utilize standard and specialized software for data management.
  • Strong organizational skills and attention to detail.
  • Ability to perform mathematical calculations accurately.

Certificates:

  • Valid Florida Driver's License.
