Position Overview

Job Title: Administrative Assistant

This role is essential for the smooth functioning of the management office. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Key Responsibilities:
  • Support daily operations of the management office by executing administrative tasks in accordance with established company protocols.
  • Perform various administrative functions such as record keeping, filing, mail handling, word processing, data entry, and maintaining office supplies.
  • Update and manage account information within the computer database.
  • Investigate any discrepancies related to account payments.
  • Organize and monitor important meetings and deadlines, including turnover, annual, and budget meetings.
  • Answer phone calls professionally and ensure messages are relayed accurately and promptly.
  • Respond to emails within a 24-hour timeframe.
  • Oversee daily mail collection, including FedEx, UPS, and USPS deliveries.
  • Maintain and provide necessary documentation such as architectural approvals, maintenance requests, and sale/lease information.
  • Coordinate and reserve conference room events.
  • Assist with special projects as directed.
Work Environment:

This position is based in an office setting. The physical demands of this role include the ability to sit, stand, reach, lift, bend, kneel, stoop, climb, push, and pull items weighing 20 pounds or less. Manual dexterity, auditory and visual skills, and the ability to follow both written and oral instructions are essential.

Employment Details:

This is a full-time, non-exempt (hourly) position. Workdays and hours will be determined based on the operational needs of the company. The schedule may be adjusted to meet business requirements.

Minimal travel may be necessary for attending meetings and training sessions within the city limits.

Qualifications:
  • A minimum of 1 year of experience in a related role.
  • Proficient in computer applications, particularly the MS Office Suite.
  • Ability to manage multiple tasks and prioritize effectively.
  • Strong communication and listening skills to engage with a diverse population.
  • Typing proficiency of 45-50 words per minute with accuracy.
  • Ability to work collaboratively in a team-oriented environment.
