Position Overview:

The Sales Support Specialist plays a crucial role in enhancing customer satisfaction by assisting the Director of Sales, Sales Managers, and Catering Manager. This position involves performing various clerical and administrative tasks related to guest and hotel communications through the sales team, as well as engaging in light selling activities for small groups and events across multiple properties.

Key Qualifications:

  • A high school diploma or equivalent is mandatory, with a preference for college coursework in a related discipline.
  • Prior experience in a hotel or similar environment is advantageous.
  • Typing proficiency of at least 55 words per minute is required.
  • Familiarity with Microsoft operating systems, particularly OnQ and Sales Pro Enterprise, is essential.
  • Clear communication skills are necessary for conveying information and ideas effectively.
  • Ability to quickly assess and choose among various courses of action is critical.
  • Capability to perform well in high-pressure situations while maintaining composure is expected.
  • Proficiency in problem-solving, including anticipating and addressing issues as they arise, is important.
  • Ability to assimilate complex information from various sources and adapt it to meet specific needs is required.
  • Strong listening skills to understand and resolve concerns raised by colleagues and guests are essential.
  • Basic understanding of financial information and arithmetic functions is necessary.

Job Responsibilities:

  • Engage with guests and associates in a friendly, attentive, and service-oriented manner.
  • Adhere to attendance standards as per company policies, with a flexible schedule that may include weekends and holidays.
  • Maintain high standards of personal grooming and appearance in line with company dress code.
  • Comply with company standards and regulations to promote safe and efficient hotel operations.
  • Organize and maintain sales files according to specified standards.
  • Support the Accounts Coverage Program as applicable.
  • Understand established departmental goals and contribute to achieving or exceeding these objectives.
  • Handle incoming calls professionally, ensuring inquiries are addressed accurately and promptly.
  • Prepare sales contracts, correspondence, reports, and other necessary documentation for the sales team.
  • Keep track of leads and sales statistics for strategic outbound sales efforts.
  • Ensure the sales system documentation is accurate and functioning properly.
  • Assist managers with creative projects, including proposals and promotional materials.
  • Facilitate effective communication and paper flow within the department and with other departments.
  • Manage the distribution of sales contracts and related documents to the appropriate teams.
  • Provide quotes for meeting inquiries and collaborate with sales leadership for small group arrangements.
  • Coordinate details for upcoming functions, including confirmations and guarantees.
  • Distribute necessary documents to relevant departments regarding meetings and groups.
  • Assist clients with minor requests and complete required paperwork.
  • Conduct site inspections as needed.
  • Maintain daily records of group pickups and monthly production in the sales system.
  • Ensure a steady flow of thank-you letters for groups and maintain organized files.
  • Monitor and order office supplies and sales materials to ensure adequate stock levels.
  • Contact clients for guarantee numbers prior to functions and manage related orders.
  • Organize in-house deliveries and welcome materials as necessary.
  • Participate in sales meetings, taking minutes and distributing them accordingly.
  • Perform additional tasks related to the sales and marketing efforts of the hotel as required.
  • Familiarize oneself with all company sales policies and procedures.
  • Ensure associates are consistently friendly, helpful, and courteous to all guests and team members.
  • Undertake any other duties assigned by the Director of Sales specific to the property.
