Position Overview:
Under the direct guidance of the Community Manager, the Community Engagement Coordinator plays a vital role in comprehending and executing company policies and procedures at the property level.
This position involves accurately processing, classifying, and recording numerical data to maintain comprehensive financial records while supporting leasing, marketing, and resident relations initiatives.
The Community Engagement Coordinator is expected to demonstrate professionalism, maintain excellent attendance, possess strong communication skills, and foster enduring business relationships.
Key Responsibilities:
This job description is not exhaustive and may include additional tasks as assigned by the supervisor. Responsibilities include assisting in the oversight of leasing, maintenance, janitorial, and housekeeping staff.
Stay informed about local market competition and conduct market surveys.
Ensure the accuracy of weekly activity reports, rental applications, and all leasing information.
Support the Community Manager in managing resident requests and implementing renewal and retention strategies.Responsible for the collection and recording of all rents, including delinquent accounts.
Provide necessary reports as required.
Marketing and Leasing Duties:
Prepare all leases, addendums, and legal documents for new residents. Maintain tenant files throughout the lease duration.
Ensure timely completion of security deposit dispositions.
Handle phone inquiries, taking appropriate actions or directing calls as necessary.
In the absence of a Leasing Consultant, all responsibilities outlined in the Leasing Consultant job description will be assumed.
Identify competing communities and document their rates and amenities; assist in preparing market surveys.Resident Management Responsibilities:
Process and maintain applicant and resident files in compliance with all applicable regulations.
Conduct annual renewal inspections as per HUD and LIHTC standards.Coordinate with utility companies for tenant service transfers.
Generate and post legal notices as required in property management.
Assist in resident eviction processes in accordance with legal directives.
Provide resolutions for resident issues, escalating to the Community Manager when necessary.
Assist in planning and executing resident events and office themes.
Always maintain a professional appearance and interact courteously with residents.
Financial Management Tasks:
Purchase supplies and equipment for property use.
Record all rent receipts using the Yardi software system.
Process vendor invoices and purchase orders.
Complete required reports in the absence of the Community Manager.
Maintain compliance with the Fair Housing Act and all relevant regulations.
Knowledge, Skills, and Competencies:

Technical Skills:
Proficiency in Office 365 and industry-specific software.

Physical Requirements:
This role requires sitting, standing, and walking for extended periods. Frequent reaching, pushing, pulling, and lifting up to 20 pounds is necessary.
Communication skills are essential, including proficiency in written correspondence and face-to-face interactions.
Must be able to manage conflict situations professionally and make timely decisions that impact colleagues and clients.
Experience and Education:
High School Diploma or equivalent; Bachelor's degree or CPM preferred.
Experience in managing LIHTC and HUD multi-family properties is highly desirable.
Property Management Certification (ARM, CAM, etc.) is preferred.
1-2 years of experience in affordable housing leasing.
Familiarity with budgeting and community cost control is beneficial.
Knowledge of applicable Landlord Tenant Laws and Fair Housing Regulations is essential.
Driving Requirements:
Must be able to travel to various locations as required for the position.
A valid driver's license is necessary if operating a golf cart on-site.
