Administrative Executive

Complete Staffing Solutions is seeking a dedicated and professional Administrative Executive to support our executive leadership team.
This pivotal role will provide comprehensive administrative assistance to the CEO, CFO, and Board Members, ensuring the seamless operation of the executive office.
Key Responsibilities:
- Administrative Support:
• Draft and refine correspondence, communications, presentations, and various documents.
• Organize and maintain comprehensive filing systems, ensuring accessibility and accuracy.
• Safeguard all executive documents and communications with utmost confidentiality. - Meeting Coordination:
• Organize and facilitate Executive Committee and Board meetings, including agenda preparation and minute-taking.
• Maintain detailed records of discussions and decisions from board-related meetings.
• Coordinate logistics for board meetings, encompassing venue arrangements and catering. - Communication:
• Prepare and disseminate communications on behalf of the executive leadership. - Project Management:
• Assist in the planning and execution of special projects led by the executive team.
• Monitor progress and ensure timely completion of tasks and deliverables.
Qualifications:
- Bachelor's degree in business or a related field preferred; or a minimum of 5 years of relevant experience supporting C-Level executives.
- Willingness to work flexible hours as required by the executive team.
Essential Skills:
- Ability to represent the company positively with excellent follow-through and sound judgment.
- Proven capability to handle confidential information with discretion.
- Strong organizational skills with a keen attention to detail, thriving in a fast-paced environment.
- Exceptional time management skills to adapt to changing priorities and meet deadlines.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant software.
- Self-motivated with the ability to anticipate needs and proactively solve problems.
- Professional interaction with diverse groups in an office setting.
- Team-oriented with a collaborative approach.
- Flexibility to adapt to a dynamic office environment and take on various tasks as needed.
