Role Overview:

In the capacity of Senior Executive Assistant, you will provide critical support to our executive leadership team. This position requires a highly organized, self-motivated professional who can handle multiple responsibilities with discretion and confidentiality. Your duties will include managing executive calendars, coordinating travel, organizing meetings, and performing various administrative tasks.

Key Responsibilities:

Executive Support:

  • Oversee complex scheduling, prioritize meetings, and arrange travel logistics, including accommodations and itineraries for senior leaders.
  • Prepare and submit timely and accurate expense reports.
  • Draft, edit, and manage correspondence, reports, presentations, and other documentation, including the creation of PowerPoint presentations as necessary.
  • Handle sensitive information with the highest level of confidentiality and integrity.

Office Management:

  • Act as the primary point of contact for office visitors, ensuring a professional greeting and introduction.
  • Maintain inventory of office and kitchen supplies, ensuring a well-organized and stocked workspace.
  • Manage the flow of incoming and outgoing mail, including postal and courier services.
  • Provide notary services as required.

Meeting and Event Management:

  • Coordinate meetings by preparing agendas, securing venues, and managing logistics such as catering and audio-visual requirements.
  • Support the organization of company events, ensuring all details are executed flawlessly.
  • Assist with logistical needs, such as ordering meals or refreshments when executives are occupied.

Project Coordination:

  • Assist in the planning and execution of projects and initiatives, ensuring alignment with organizational goals and timely completion.
  • Collaborate with various departments to enhance workflow processes.

General Administrative Support:

  • Provide comprehensive administrative assistance to facilitate the smooth operation of the office and executive team.

Communication Duties:

  • Screen phone calls, manage mail, and summarize reports and memos for senior management.
  • Create executive-level presentations, compile data for reports, and perform data analysis.

Qualifications:

Education and Experience:

  • High School Diploma or GED required; an associate or bachelor's degree is preferred.
  • A minimum of 8 years of experience in executive-level support roles.
  • Demonstrated experience in planning and coordinating large-scale office events and meetings.

Skills and Competencies:

  • Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Exceptional written and verbal communication abilities.
  • Strong project management skills with the capacity to manage multiple priorities.
  • High degree of professionalism, confidentiality, and discretion.
  • Excellent organizational skills with a strong attention to detail.

Additional Qualifications:

  • Current Notary certification is preferred.
  • Familiarity with Microsoft 365 tools, including Teams, SharePoint, and OneDrive, is advantageous.
  • Ability to work collaboratively in a team environment and build strong relationships with senior management and external stakeholders.
