- Our client is a reputable organization committed to serving the needs of healthcare providers, including hospitals, physicians, and legal professionals. They are on the lookout for a skilled and driven Executive Assistant to enhance their team.
Key Responsibilities:
- Oversee executive calendars, including scheduling, adapting to changes swiftly, coordinating multiple schedules, arranging meetings, and managing logistics.
- Ensure confidentiality regarding all communications, cases, and tasks of the leadership.
- Coordinate travel arrangements, including booking flights, accommodations, and transportation.
- Create and manage documents and presentations using Microsoft PowerPoint, Excel, and Word.
- Utilize dictation software for document and spreadsheet creation.
- Handle multiple projects simultaneously while adhering to deadlines.
- Screen and manage incoming calls and inquiries independently when possible.
- Perform additional administrative tasks as required.
Qualifications:
- Preferred Bachelor's degree or an equivalent combination of education and experience.
- Prior experience as an executive administrative assistant in a legal environment is preferred.
- Self-motivated with a strong ability to problem-solve and implement creative solutions.
- Excellent verbal and written communication skills.
- Ability to work proactively, adapt quickly, and thrive in a fast-paced environment.
- Strong interpersonal skills to interact with employees at all levels.
- Capability to escalate issues when necessary.
- Exceptional time management and prioritization abilities.
- Familiarity with dictation programs.
- Detail-oriented with a high level of confidentiality and discretion.
- Proficient in Microsoft Office Suite and Outlook.
- Ability to anticipate the needs of executives and manage multiple tasks effectively.
