Key Responsibilities:

  • Oversee executive calendars, including scheduling, adapting to changes swiftly, coordinating multiple schedules, arranging meetings, and managing logistics.
  • Ensure confidentiality regarding all communications, cases, and tasks of the leadership.
  • Coordinate travel arrangements, including booking flights, accommodations, and transportation.
  • Create and manage documents and presentations using Microsoft PowerPoint, Excel, and Word.
  • Utilize dictation software for document and spreadsheet creation.
  • Handle multiple projects simultaneously while adhering to deadlines.
  • Screen and manage incoming calls and inquiries independently when possible.
  • Perform additional administrative tasks as required.

Qualifications:

  • Preferred Bachelor's degree or an equivalent combination of education and experience.
  • Prior experience as an executive administrative assistant in a legal environment is preferred.
  • Self-motivated with a strong ability to problem-solve and implement creative solutions.
  • Excellent verbal and written communication skills.
  • Ability to work proactively, adapt quickly, and thrive in a fast-paced environment.

  • Familiarity with dictation programs.
  • Detail-oriented with a high level of confidentiality and discretion.
  • Proficient in Microsoft Office Suite and Outlook.
  • Ability to anticipate the needs of executives and manage multiple tasks effectively.
