Position Overview:

The Executive Administrative Coordinator will undertake a variety of intricate and essential administrative functions to support our executive leadership. Key responsibilities include managing executive calendars, prioritizing tasks, arranging travel, preparing expense reports, and facilitating meeting logistics. This role demands foresight, critical thinking, organization, and a high degree of professionalism and confidentiality.

Key Responsibilities:

  • Support and prioritize daily activities for American Honda executives, ensuring confidentiality in scheduling and communications. Manage calendars for multiple leaders, identifying potential conflicts and recommending resolutions.
  • Collaborate with various business centers and units, as well as Honda Motor Japan, to coordinate essential business functions.
  • Arrange travel logistics for executives, adapting plans swiftly as needed.
  • Prioritize action items and deadlines, bringing significant matters to the attention of executives. Draft responses for executive review, ensuring alignment with their communication style.
  • Assist in scheduling and organizing major meetings, coordinating with business partners for executive visitor engagements.
  • Handle administrative tasks including budget management, asset oversight, and record retention.
  • Maintain a solid understanding of Honda's core activities, corporate policies, and management guidelines.

Candidate Profile:

Required Experience:

  • A minimum of 6 years in an executive assistant role supporting senior executives in a fast-paced environment.

Required Education:

  • Associate or Bachelor's Degree or equivalent experience.

Desired Skills:

  • Ability to make independent decisions and judgments.
  • Exceptional communication skills, both written and verbal.
  • Proficiency in Japanese is a plus.
  • Strong team player with excellent planning, organizing, problem-solving, and interpersonal skills.
  • Advanced proficiency in Microsoft Windows, Word, Excel, Outlook, PowerPoint, and Teams.
  • Detail-oriented, accurate, and consistent in work.
  • Ability to establish high-level contacts of a sensitive nature within and outside the organization.

  • Open office environment with moderate noise levels.
  • Occasional overtime may be required based on project demands.
